Finance is one of the most demanding functions in a freight forwarding business. Multiple charge items, long settlement cycles and numerous counterparties make daily financial operations highly complex. Billing, reconciliation, payment collection, invoicing, write-offs and verification all involve repetitive work, while month-end closing can place significant pressure on finance teams.
That way of working is changing. As AI takes on more routine financial tasks, an important question is emerging: can finance evolve from a back-office support function into a source of competitive advantage for freight forwarders?
This question was at the centre of the second WallTech Freight Forwarders Executive Salon, held on September 2, 2026 at Diamond Tower in Lujiazui, Shanghai. More than 30 freight forwarding executives and finance leaders joined the event to discuss how AI, digital invoicing and financial services are changing the way freight businesses manage finance, sales and settlement.

AI-Powered Finance: From Doing the Work to Directing AI
Neal, AI Product Expert at WallTech, kicked off the first session, presenting practical uses of AI in freight forwarding finance.
The idea is straightforward. Once a company defines its financial standard operating procedures, AI can support more of the routine execution. Billing, reconciliation, payment collection, invoicing, write-offs, payments, risk control and reporting are all areas where AI can potentially assist day-to-day financial operations, allowing people to concentrate on critical decisions and exceptions.
The objective is not automation for its own sake. For freight forwarders, effective financial management still comes down to several fundamentals: know the profit, collect the money, reconcile the accounts, issue invoices correctly and manage tax compliance.
The broader shift is therefore not simply about replacing one financial tool with another. It is about changing the division of work between people and technology: people make the judgments, while AI supports execution.
WallTech will reveal more related capabilities at its Product Launch Event on November 24, 2026.

CargoWareX Contract Parsing: Turning Commercial Information Into Faster Quotations
Daniel, Product Lead for CargoWareX, presented the second session, which focused on a familiar bottleneck in freight forwarding sales.
Carrier contracts and quotation emails are among a freight forwarder's most valuable commercial assets, yet much of this information remains buried in emails and spreadsheets.
Formats differ. Terms can be lengthy. Commercial teams may take an hour or two to manually dissect a single contract before its rates are ready for sales.
Information takes time to move. Business opportunities do not wait.
CargoWareX, WallTech's AI-native international logistics collaboration platform, addresses this problem through its Contract Parsing capability. According to the event presentation, AI structures carrier contracts and quotation emails, imports the extracted information into the system and produces sellable freight rates within seconds.
For sales teams, the commercial value is clear. Faster processing can shorten the path from receiving a contract to preparing a quotation. In freight forwarding, where response speed can shape the pre-sales outcome, that time advantage can become a competitive advantage.

Fully Digital Invoicing: Compliance First, Automation as an Advantage
The third session came from Baiwang Jinfu Technology and focused on fully digital invoicing solutions for the freight transportation industry.
The presentation examined China's digital invoice management framework and the implications for freight transportation, brokerage and agency services, and logistics support services. The proposed approach centred on three areas: compliant invoicing, system integration and risk alerts.
Structured mandatory-field controls, tax classification coding, and validation across business, logistics, financial and invoice information can help identify incorrect or non-compliant invoicing earlier in the process. Integration with business systems can also connect shipment data with invoice issuance, delivery and archiving to support a more continuous end-to-end workflow.
The solution presented integrates with CargoWare, connecting business operations, expense settlement and financial management. For freight forwarding companies operating in China, this creates an opportunity to bring business operations, finance and tax management closer together.

Shipping Finance: Settlement Efficiency Matters Too
The final session looked beyond internal systems to another important part of freight operations: the movement of money.
Industrial Bank Shanghai Branch presented shipping financial services designed around the settlement requirements of the shipping and logistics sector. According to the presentation, its cross-border service network covers approximately 90 countries and regions.
For logistics businesses handling frequent, relatively small and time-sensitive transactions, the services presented included direct processing of incoming remittances, online domestic foreign-currency freight payments and electronic customs tax payments.
The underlying objective is simple: the movement of funds needs to keep pace with the movement of goods.

AI Is Moving Deeper Into Freight Operations
Finance, sales, tax and settlement have traditionally been viewed as supporting functions or cost centres. AI and digitalization create an opportunity to rethink their role within freight forwarding businesses.
The change is not only about completing existing work faster. It is about changing how work is divided between systems and people, how quickly commercial information reaches sales teams, how financial processes connect with operations, and how effectively businesses manage increasingly complex workflows.
The second WallTech Freight Forwarders Executive Salon brought together more than 30 industry leaders to examine these changes through practical applications and operational scenarios. The discussion is only beginning.
AI is increasingly becoming part of the productive infrastructure of freight forwarding.
WallTech will continue bringing together industry leaders and technology experts through the WallTech Freight Forwarders Executive Salon Series to explore how digitalization and AI are changing international logistics.
